Privacy Statement (May 2018)

At Cottage of Aird, we are committed to maintaining the trust and confidence of our guests.  Our Privacy Policy below provides detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.

Types of personal information we collect and why we collect this data

When you book to stay as a guest at Cottage of Aird, either directly by email or through Airbnb or TripAdvisor, your name, address, email and contact number will be securely stored by us.  It is necessary for us to process this information to fulfil our contract with you to provide holiday accommodation.  This is known as the lawful basis for us processing your data.

Currently we are also required to ask for the nationality of all guests over the age of 16 years by the Immigration (Hotel Records) Order 1972 (as amended).  This information will be securely destroyed 12 months after the date of your booking.  We are required to disclose this information to the authorised officials if requested.

For all non-UK resident guests over the age of 16 years we are also required to record all guests’ passport numbers, place of issue and the details of your next destination by the Immigration (Hotel Records) Order 1972 (as amended).  This information will be securely destroyed 12 months after the date of your booking. We are required to disclose this information to the authorised officials if requested.

Cottage of Aird uses Paypal Inc for all payments made by guests who book directly. We process personal data supplied by Paypal for the lawful basis of fulfilling your contract with us.  This data includes your contact details and payment amount.  We do not receive details of payment cards. We will retain this information for 12 months from the date of your booking. Details of Paypal’s Privacy Policy can be found on their website.

We maintain a Visitor’s book to enable our guests to share their experiences and provide feedback on their stay.  Guests are not required to complete this book.  If you choose to complete this book your personal data will be available to ourselves, to other guests that stay at Cottage of Aird and to any staff that may assist us in running our business. Under the GDPR the legitimate interest for processing this information is to improve our service to guests.  This information will be securely destroyed 5 years after the date of your booking.

Cottage of Aird is required to keep records of its business activity to comply with HMRC (UK tax) regulations.  The data retained will include names and contact details of guests and will be destroyed 5 years after the 31 January submission deadline of the relevant tax year.

Access to your personal information

You are entitled to view, amend, or delete some or all of the personal information that we hold depending on the lawful basis applicable to the data.
